South Van FC Youth Academy (“South Van FC”, “we”, “us”, or “our”) is committed to protecting the privacy and personal information of everyone who interacts with our website at www.southvanfc.com, including players, parents, guardians, and prospective members.
This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and what rights you have regarding your data. It applies to information collected through our website’s forms, email subscription, and any related services.

We collect personal information through two forms on our website:
Player Evaluation Form (Youth Academy)
When you submit a request for a player evaluation, we may collect:
Player information:
- Player’s full name
- Date of birth and age group (U8–U11, U12–U15, or U15–U18)
- Current club (optional)
- Years playing soccer
- School grade (optional)
- Primary position(s) and dominant foot
- Weekly training hours and current competition level
- Other sports played (optional)
- Previous structured coaching experience
- Injuries or physical considerations (optional, recommended)
- Player strengths and areas to improve (optional, recommended)
- Long-term football ambition
- Development goals (optional)
- How you heard about us (optional)
Parent or guardian information (required for all youth players):
- Full name
- Relationship to player
- Email address
- Phone number
The parent or guardian is our primary contact for all youth player evaluations.
Men’s Team Application Form
When you submit an application to join our men’s team, we may collect:
- Full name
- Email address
- Phone number
- Date of birth
- Primary position(s) and dominant foot
- Current or previous club (optional)
- League experience level
- Training availability and season commitment
- A personal statement about why you want to join South Van FC
- How you heard about us (optional)
Email Newsletter Subscription
When you subscribe to our email list through the website, we collect:
- Email address (required)
- Name (optional)
- The page or section where you signed up (e.g., homepage, footer, popup — used internally to understand where signups originate)
Website Usage Data
We automatically collect certain information when you visit our website, including:
- Pages visited and time spent on pages
- General location (country/city level, derived from IP address)

- Referral source and traffic medium
This data is collected through Google Analytics and, where consent is given, Vercel Analytics and Speed Insights. See Section 6 and Section 7 for details on how these services work.

- To process applications and evaluation requests — reviewing submissions and following up with players or parents/guardians
- To communicate with you — responding to your inquiry, scheduling evaluations, or providing information about programs
- To manage our programs — organizing tryouts, evaluations, and player development activities
- To send you club updates and communications — if you subscribe to our email list, we may send you news, program updates, and promotional content about South Van FC
- To improve our website and services — using analytics data to understand how visitors use our site
We will not use your personal information for purposes other than those listed above without your consent.
4. Children’s Privacy
South Van FC provides programs for youth players, including children under the age of 18. We take the protection of minors’ privacy seriously.
- We do not knowingly collect personal information directly from children under the age of 13 without verified parental or guardian consent. Our Player Evaluation Form requires a parent or guardian’s name, email, phone number, and relationship for all youth players.
- The parent or guardian is our sole contact for all youth evaluations and program communications — we do not communicate directly with minors.
- If you are a parent or guardian and believe we have collected information about your child without appropriate consent, please contact us immediately at southvanfc@gmail.com and we will take steps to remove that information.
- We do not sell, share, or use children’s data for marketing purposes.
5. Data Storage and Security
Form submissions are securely transmitted and stored in Google Sheets via Google Cloud Platform (GCP), using encrypted connections and secure authentication protocols (Workload Identity Federation).
Email subscriber data is stored in Supabase, a secure cloud database platform. Supabase stores data within secure, encrypted infrastructure.
Our website is hosted and deployed through Vercel, a cloud platform that maintains industry-standard security practices.
We retain your information only as long as necessary to fulfill the purposes outlined in this policy, or as required by law. If you would like your data removed, please contact us (see Section 9).
6. Third-Party Services
We use the following third-party services that may collect or process data on our behalf:

Google Analytics is active on all pages and uses cookies to measure traffic, page views, and referral sources. This runs without requiring consent, as it is used for basic website operation and improvement. Google Analytics data is aggregated and does not identify individual visitors.
Vercel Analytics and Speed Insights are loaded only after you give consent via the cookie banner displayed on your first visit. If you decline, these services are not loaded and no data is sent to Vercel. Your preference is saved in your browser’s local storage (svfc_analytics_consent). You can change your preference at any time by clearing your browser’s local storage for this site.
We do not use cookies for advertising or cross-site tracking.
8. Sharing Your Information
We do not sell, rent, or trade your personal information to third parties.
We may share your information only in the following limited circumstances:
- With our coaching and administrative staff — on a need-to-know basis to process your application or evaluation
- As required by law — if we are legally obligated to disclose information to government or law enforcement authorities

Under PIPEDA and BC PIPA, you have the right to:
- Access the personal information we hold about you
- Correct any inaccurate or incomplete information
- Withdraw consent to our use of your personal information (subject to legal or contractual obligations)
- Request deletion of your personal information, where applicable
- Unsubscribe from email communications at any time by emailing southvanfc@gmail.com with “Unsubscribe” in the subject line
